About the Role

We have a fantastic opportunity for a confident PA to join our Canon Business Services Australia team based in Sydney. This is a vital role that will support our client’s Investment banking division, as well as providing support to the Business Manager.

 

With no two days the same, you will be responsible for a wide variety of tasks, from diary management, liaising with the hospitality services team, monthly expenses reconciliation, to supporting internal event management. In this pivotal role, you will leverage your well-honed stakeholder engagement expertise and finely tuned organization skills to keep things running without a hitch.

 

Scope of the role includes:

  • Extensive diary management – scheduling meetings, managing correspondence, and ensuring effective use of the executive’s time
  • Coordinating internal & external meetings with clients & stakeholders including liaising with assistants and booking meeting rooms
  • Providing superior and executive level of support to the team, always maintaining a professional approach (both internally and externally) and a high level of confidentiality
  • Reconciliation of monthly expenses in Concur ensuring adherence to company policies
  • Event coordination including Client dinners and Internal team building events
  • General administrative tasks including filing, printing, binding etc.

 

About You

You bring a wealth of experience as a PA or EA preferably in a banking/finance industry or a similar corporate environment. You are someone who has excellent communication skills, strong prioritisation skills and can multi-task effortlessly. You know how to combine your organisational skills, problem solving skills and keen eye for detail to deliver a really great experience for our internal and external stakeholders. You understand the importance of confidentiality and representing our brand with pride.

 

Key Skills & Experience include:

  • 3-5 years prior experience in supporting a senior executive or team
  • Proactive and methodical approach with a friendly yet professional demeanour
  • Ability to manage workflow, priorities, work well under pressure and to be flexible
  • Intermediate skills across Microsoft Office Suite (Outlook, Word, PowerPoint, and Excel)
  • Exceptional organisational skills, the ability to multitask and manage competing priorities
  • Superior level of professionalism face to face, over the phone and through written correspondence
  • Willingness and desire to build strong relationships internally and externally
  • Ability to take ownership and responsibility of tasks
  • Professional approach towards the work environment
  • Superior communication skills and ability to prioritise
  • Efficient, organized and capable with the ability to remain calm under pressure
  • Strong negotiation skills and ability to push back when needed
