Executive Assistant

Purpose

The role is also expected to provide support to the Managing Director and some members of Philippine Leadership Team as required.

 

Essential duties

 

  • Handle tasks delegated by the Managing Director may include but not limited to, clerical duties, correspondences and liaises with external/third party resources, managing the CM’s diaries and arranging daily schedule and trips if needed.
  • Prepares correspondences and/or company updates of Managing Director as required.
  • Prepare agenda and record minutes of the meetings for the PLT, advisory boards, and other workshops or sessions of the Managing Director as required.
  • Liaise and coordinate with company’s legal counsels on the preparation and timely transmission of Board Papers, Visa applications and other important legal documents.
  • Main point of contact on all itinerary and scheduling of visitors. Ensuring proper and clear communications are provided to the visitors and /or arrangements to other external parties such as hotels, restaurants, other companies, etc. Tasks may include arranging meetings, travel reservations, dinner arrangements, and the like.
  • Maintain and safekeep records and correspondences of the Managing Director.
  • Maintain personal networks and participate in professional organizations.
  • Assist the members of PLT and People and Culture Team with other tasks as deemed required.

 

Qualifications

  • Minimum of 4+ years of experience as an Executive Assistant reporting directly to senior management
  • Advanced Microsoft Office skills, with an ability to become familiar with firm-specific programs and software
  • Proficiency in collaboration and delegation of duties
  • Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities
  • Exceptional interpersonal skills
  • Proactive and with high level of integrity
  • Positive and professional demeanor
