Main Function
- Disciplinary Management
- Review and provide feedback on PIPs prepared by People Leaders specifically IT Services & Corp Services
- End to end administrative cases from minor to grave offense
- Investigate Incident Reports received.
- Performance Management
- Review and approve 3rd and 5th month probation review including casuals by ITS & CS Leaders Sending out of reminders on MidYear and Annual Performance Reviews for ITS & CS
- Collating of Mid and Annual Performance Review Scorecards from People Leaders specifically for ITS & CS (if needed)
- Prepare and issue Merit Increase Letters (if needed)
- Employee Movements/Contract Alterations
- Drafting, routing for approval, and issuance of Promotions, Lateral transfers, Secondment/HDA, and Pay Increase for IT Services & Corp Services
- Provide guidance to ITS & CS leaders on all employee movement related queries.
- HR Admin in HRConnect
- Position Management
- Updating of Position (if needed for ITS & CS)
- Deactivation of Positions (if needed)
- Supervisor Changes
- Personal Info Changes (as requested)
- Job Info Changes
- Promotions
- Transfers
- Secondments/HDA
- Pay Rate Changes
- Processing of Job Requisition (if needed only)
- Position Management
- Policy and Process Reviews
- Assist in reviewing, drafting, updating of HR Policies and Procedures as required.
- Exit Management
- Termination of Account
- Conduct exit interviews for ITS & CS (if needed)
- Helpdesk Management
- Action on General Inquiries/ Requests related to employee movements.
Sub Function:
- HR Admin in HRConnect
- Approved all transaction on HRConnect (if needed)
- System issues/concerns (if needed)
- Training
- Facilitate Code of Conduct
- Connect Sessions with PLT & HRBP
- Database Management
- Ensure all details of employees are updated and aligned to HRConnect
- Ensure correct separation details
- Ensure all Internal Movements letters are recorded
- Record PIPs and IRs
Occupational Health & Safety and Environmental, InfoSec and QMS Awareness
- Comply and understand the requirements and your responsibilities in relation to the companies Occupational Health, Safety and Environmental policy.
- Responsible for ensuring the workplace is safe and any areas of concern are escalated to the OH&S representative within Canon immediately.
- Contribute to Canon’s environmental strategy and objective.
- Responsible for working within the OH&S and environmental guidelines and policies provided by Canon and Client
- Responsible for supporting the company in ensuring a healthy and safe environment to work in.
- Strict observance of the Information Security set of policies, which may include, but are not limited to, taking mandatory InfoSec courses, and preventing and reporting security events.
- Responsible for following all controls in place to protect sensitive information.
