The purpose of the IT Asset Coordinator is to manage the company’s information technology assets. Develop short- and long-term strategies for the future direction of Information Technology Asset Management and delivery of ICT requirement.

To support the information technology operational teams, whilst assisting with the implementation of information systems across the company’s network, including working with key stakeholders and vendors


Essential duties

  • IT Asset and Vendor Management - manage all CBSC PH’s IT Assets and the relationships with external vendors and suppliers, ensuring contracts and service levels are negotiated in line with strategic aims and financial constraints and ongoing service is in-line with agreed contracts. Continuous audit on assets, both hardware and software.
  • IT Services Support - manage the day to day operations of IT systems, ensuring that planning, end-user impact, change management, incident management, service request fulfillment and quality management are properly addressed and monitored to ensure that deadlines, budgets and service levels are met and results delivered.
  • Budget – support the IT Infrastructure and System Administration Manager to manage capital and operational expense budgets for all IT functions. Specifically, to be responsible for the review, audit and prioritisation of all information management systems and the replacement cycle of information technology hardware.
  • Project Support - To support the implementation of current projects along with future projects related to IT Asset Management. Continual management of operational projects for:
    • Ongoing integration, upkeep and improvement of IT systems.
    • Review of procurement and contractual arrangements
  • Business continuity - help maintain the Business Continuity plan for IT and to implement measures designed to safeguard the Information Technology assets and Management needs of the company in the event of business interruptions.

Other Responsibilities

  • Provides support for the management of inventories of purchased IT assets so as to meet the user requirement at the lowest possible cost not compromising delivery and quality aspect.
  • Interfaces with internal customers/end users on IT requirements, including asset qualification strategies.
  • Work closely with other IT team member and provide level 1 IT support as needed – this includes hardware \ software and Infrastructure support.
  • Reviews and process requisition and issuances with efficiency and accuracy and in accordance with company policies and procedures.
  • Prepares a monthly reconciliation and generate reports with supporting schedules of the inventory to the relevant accounting records, and resolves the uncleared items, if any.
  • Generates reports that may be assigned from time to time by the immediate Superior/s.
  • Reach out to strategic partners in the business departments such as marketing, operations, supply chain, human resources, and finance. Engaging with these strategic stakeholders will ensure that the business is aligned and in support of the strategy.
  • Work with the IT team, including direct employees, as well as contractors.
  • Other duties and responsibilities may be assigned by immediate supervisor/manager


Qualifications, Experience and Capabilities

The position requires the following qualifications, experience, and capabilities:

  • Candidate must possess at least a Bachelor's/College Degree, Computer Science/Information Technology or equivalent.
  • Minimum of 2 years’ experience as an IT Support and Asset Management.
  • Strong problem analysis and resolution skills
  • Excellent communication skills, ability to interact with team members, client representatives, and vendors to achieve problem resolution
  • ITIL Foundation Certification desirable but not essential
  • Can communicate complex technical situations and activities in a straightforward way to non-technical people.
  • Must be able to work with minimal supervision, meet deadlines and be accountable.
  • Knowledge of database, financial, and project management applications
  • Strong background and work experience, knowledge, and familiarity of Inventory and Logistics operations and processes.
  • Flexibility to work nights and/or weekends, shifts when required.
  • Basic understanding of the following technologies including a mix from:
    • Network Technologies and Techniques
    • Microsoft Windows including Active Directory, DNS, DHCP,Microsoft Azure
    • Network and Windows Security  
    • Microsoft Exchange and/or other messaging environments
    • Backup Technologies
    • Disaster Recovery techniques
    • Asset Management systems
