About the Role


To ensure an efficient and successful shared administrative service for Canon Australia and New Zealand, while providing support to the whole People and Culture team.



Essential Duties

Administration tasks


  • Administration of HR Help Desk and HRConnect requests in an efficient and effective manner, delegating tasks effectively when required.
  • Manage and respond to queries received to the HR Advisory mailbox including allocation to relevant teams or escalating to HRBPs as required.
  • Prepare and distribute general HR correspondences including service anniversary letters, probationary letters, contract variation letters and other HR letters in a timely manner
  • Maintain HR employee files and databases in relation to employment contracts and various HR letters/activity.
  • Maintaining the Organisational structure and security of HR Information System, HRConnect
  • Processing of Criminal Police Checks,Visa Checks and other pre employment checks as required
  • Verification of all Onboarding document requirements
  • Update and maintain internal contacts in conjunction with the IT Department
  • Produce monthly and ad hoc reports as required
  • Assist the HR team as required


Recruitment Tasks

  • Administration of HR Help Desk and HRConnect requests in an efficient and effective manner
  • Coordinate recruitment and selection in accordance with HR procedures including posting job advertisements, updating the intranet and website with new job ads and liaising with Managers
  • Assist with phone screening to support hiring managers as requested.
  • Administer and effectively manage all recruitment systems and avenues of the company making sure they are all updated.
  • Process applications in line with sound recruitment practices and methods, including interviews and reference checks.
  • Reinforce Canon recruitment policy and procedures with Canon Managers as related to Company vision and values and relevant legislation
  • Ensure all roles recruited have a position description and follow up with hiring managers if not.
  • Compliance with HR policies & procedures
  • Highlight areas of continuous improvement to both recruitment/HR processes and site issues as they arise.
  • Produce monthly and ad hoc reports as required




  • Tertiary education
  • Experience of administrative responsibilities is an advantageKnowledge and exposure to a range of HR issues and practices specifically in HR administration and Recruitment is preferred
  • Previous HRIS experience and knowledge of the SAP SuccessFactors system is preferable
