Essential duties
- Support PMO Manager as required with reporting, administrative tasks
- Delivering Project support to PMO team with the scope of completing on-time and within budget to meet the desired outcomes.
- Follow up with involved partners and/or 3rd party providers to help deliver projects when required.
- Meet project stakeholders’ expectation through effective communication.
- Provide support by taking meeting minutes, creating basic documents and templates and general ad-hoc administration duties.
- Assist the team in the production and maintenance of project plans, project logs, risks and other documentation that may be required;
- Where required support the production of project reports for internal and external customers;
- Support the PMO team in the successful hand-over of project deliverables to support teams;
- Support/Facilitate internal and external hand over meetings to ensure effective support is provided.
- Identify and support any risks associated with key process & methodology and escalate where required.
- Ensuring that project decisions, changes, exceptions, issues and risks are recorded, actioned and escalated where required.
- Where required/ as requested, act as the primary CBS representative to the customer with respect to participation in project related meetings.
- Responsible for Project Documentation standards and compliance where applicable
- Plan, manage and own execution of Project tasks and ensure delivery of exceptional services.
- Maintain systems for recording ongoing project tasks and deliverables.
- Compile project reports and maintain required dashboards required by the team.
- Coordinate and where required produce reports to support the team and ensure milestones are met.
- Carry out administration tasks as required through a defined Project Management tool where applicable
- Where required, maintain the project library, filing, recording and reporting systems on behalf of the project management team.
- Ensuring accurate project delivery forecasting and billing of projects
- Ensure project data and the health of data within the Project Management tool, SharePoint, Therefore, SFDC etc is maintained and up to date.
- Maintain project document archiving.
Qualifications
- Proven experience in a similar role supporting the PMO delivering complex projects across corporate and government channels.
- Relevant Tertiary education
- MSP or Systems Integrator background desirable
- MS Office
- Any project mgmt. certification or qualification is desirable
