Support Services Supervisor

Purpose

The Support Services Supervisor is responsible for facilities and administrative functions of all Canon sites in the Philippines.

 

He/She will ensure that CBSC employees understand our compliance obligations and that we adhere to the requirements of key industry and regulatory standards.

 

He/she is also responsible for the maintaining the company’s Business

Continuity Management system

Facilities & Administration

  • Ensure high quality facilities and administration services to support the needs of the business and CBSC employees
  • Manage all facilities and administration staff and ensure all performance goals are met
  • Responsible for maintenance of policies and procedures to ensure facilities and administrative services are properly  
  • Manage the business unit budget by monitoring operational expenses, consumption of office supplies and consumables procured by the company and maintain all related reports
  • Track and regularly report on BU performance vs goals and objectives
  • Collaborate with procurement team on sourcing of suppliers and contract negotiations
  • Partner with building management to ensure all contracted obligations to CBSC are provided and implement measures to maintain site integrity whilst ensuring adherence to the building administration’s policy and national safety standards.
  • Ensure building plans, PEZA documents, LGU permits and all related documentations are up to date and renewed in a timely manner
  • Regularly engage key CBSC leaders to understand their requirements and collaborate to resolve issues
  • Manage a system to capture customer satisfaction levels and foster continuous improvement

Compliance (Quality, Health & Safety, Environment  and Information Security)

  • Ensure that all related management systems are established, implemented and maintained in accordance with the requirements of the relevant standards, Canon policies and customer requirements.
  • Provide subject matter expertise and training for managers and staff of CBSC
  • Monitor and report performance to CBSC management and key Canon Oceania stakeholders
  • Perform inspections, internals audits and facilitate external audits as per the requirements of relevant standards and Canon Oceania policies
  • Responsible for document management in line with Canon Oceania procedures
  • Maintain all necessary legal and compliance registers   
  • Collaborate and align with Canon Oceania on current and future requirements
  • Responsible for monitoring compliance to all related local regulatory requirements
  • Liaise with external parties as required eg regulators, industry bodies, customers, community organizations to understand requirements and promote CBSC as a socially responsible organization

Business Continuity

  • Maintain CBSC’s Business Continuity Management System in line with Canon Oceania policies and procedures
  • Ensure compliance to requirements of relevant standards
  • Provide subject expertise and training to managers and staff of CBSC
  • Manage regular testing across all sites
  • Maintain all relevant documentation
  • Coordination with relevant Canon Oceania stakeholders
  • Monitor and report performance to CBSC management and key Canon Oceania stakeholders

 

Performance measures

  • Professional, clean and functional office facilities
  • Effective and timely discharge of administration tasks
  • Expenses within agreed budget and timely processing of payments
  • Implementation of internal audit programs and BCP
  • Maintenance of certifications as per Canon Oceania direct
  • Timely resolution on audit findings
  • Reporting requirements are met within set timelines
  • Effective teamwork and collaboration with key stakeholders
  • Positive customer satisfaction feedback
  • Positive staff engagement scores as defined by Canon Oceania

 

Qualifications

  • Bachelor’s degree holder in Legal Management, Industrial Engineering, Business Administration or related field
  • Master’s degree is an asset but not a requirement
  • Auditing and BCP certifications is a plus

Experience and capabilities

  • At least 8 years of related work experience preferably in business Process Outsourcing or Shared Services sectors
  • At least 3 years experience in BCP
  • At least 3 years experience in auditing
  • Experience in support services and facilities management is an advantage
